Last updated: 11-07-2026 Inquix AI (“we”, “us”, “our”) respects your privacy and is committed to protecting personal data. This Privacy Policy explains how data is collected, used, and stored when using the Inquix AI WordPress plugin and related services.

Data We Collect

We may collect and process the following data:

  • Account email address (for service registration)
  • Website URL and technical identifiers
  • Usage data (number of AI replies, timestamps)
  • Form metadata required to generate AI replies
  • Email addresses of form submitters (used only to send replies)
  • Approximate location (country only), derived from the IP address of the request when you confirm your email address. The lookup runs locally on our servers using an offline database — the IP address itself is not stored, and never leaves our infrastructure.
  • Site configuration you choose in the plugin: industry category and your site's WordPress language setting (locale).

We do not collect passwords or payment card data. Payments are handled securely by Stripe.

Purpose of Processing

Data is processed only to:

  • Provide AI-generated replies to contact form submissions
  • Enforce free and paid usage limits
  • Maintain service security and stability
  • Comply with legal obligations
  • To understand, in aggregate, which countries and languages our customers operate in.

We do not sell or share personal data for marketing purposes.

Email Sending

Inquix AI sends transactional emails only. Emails are sent exclusively as replies to messages initiated by a website visitor. We do not send newsletters or unsolicited marketing emails. Email delivery is handled by MailerSend, our transactional email provider. Emails are sent from our verified inquix.ai domain, and replies from your visitors are routed directly to your own email address.

AI Reply Generation

Inquix AI uses OpenAI to generate reply drafts. When AI replies are enabled, the content of a visitor's form submission — together with the business information and knowledge-base text you configure in the plugin — is sent to OpenAI for processing. AI reply generation is performed by Inquix on our own provider account. Form submission content (visitor name, email, message) and the business context configured by the website owner are processed by OpenAI, L.L.C. (USA) as our sub-processor to generate the reply. We do not permit use of this data for AI model training. Processing takes place on OpenAI's servers in the United States, safeguarded by our data-processing agreement with OpenAI and standard contractual safeguards.

Data Storage & Security

Data is stored securely using industry-standard security measures. Access is limited to authorized systems only.

Data Retention

Data is retained only as long as necessary to provide the service or comply with legal requirements.
